Choosing a Business Phone System

UniFi Talk, Versature + Quo Compared

There is no single best business phone system. The right choice depends on where your staff work, what else is in your building, and how your customers reach you.

Mango IT installs and supports three systems that cover most small and mid-sized businesses in the Kootenays:

  • UniFi Talk from Ubiquiti, for businesses that want phones, cameras, door access and network on one dashboard

  • net2phone Canada (formerly Versature), a Canadian hosted phone system for offices with receptionists, departments and call queues

  • Quo (formerly OpenPhone), an app-based business number for teams that work from their mobile phones

UniFi Talk:
phones as part of the whole building

UniFi Talk is Ubiquiti's phone system. Its strength is that it's part of the Upiquiti suite; phones, wi-fi, cameras, door access and intercoms all run from the same UniFi console and are managed from one dashboard.

That means:

  • The front door rings the desk phone. When a visitor presses the UniFi intercom, the call comes to a desk phone or intercom viewer. Staff see the visitor on the screen and unlock the door from there.

  • Cameras on the phone screen. Ubiquiti's touchscreen desk phones can show live camera feeds, so reception sees the parking lot or loading door without a separate monitor.

  • One vendor, one login for the whole system. Adding a phone, a camera or a door reader happens in the same place. When staff leave, their access is removed in one step.

  • Calls from anywhere. On the Pro plan, staff can make and take calls on their office number from a laptop or mobile phone.

What to know:

  • Ubiquiti Talk requires a UniFi console, such as a Cloud Gateway or Dream Machine. If you already have a UniFi network, you likely have one.

  • It works with Ubiquiti phones only.

  • Call routing is simpler than a full hosted system. It suits businesses that don't need large call queues or a contact centre.

Best fit: condos and rental buildings, clinics and small offices, trades shops that want phones, cameras and door access as one system. It pairs directly with the door access systems we install and can be managed easily from one place.

net2phone Canada:
the full office phone system

net2phone Canada, formerly Versature, is a Canadian hosted phone system. Everything runs in the cloud, so there is no phone server in your office, and if your building loses power, calls still reach mobile apps and voicemail.

It suits businesses where the phone is the front door:

  • Auto attendant and departments. "Press 1 for service, 2 for accounts", with different routing after hours and on holidays.

  • Call queues. Callers wait in line for the next available person instead of hitting voicemail.

  • Any device, anywhere. Desk phones at reception, the desktop app for office staff, the mobile app for people on the road.

  • Microsoft Teams integration. Staff can make and take business calls inside Teams, which pairs well with Microsoft 365.

  • Room to grow. Contact centre features, call recording and reporting are available as needs grow.

What to know:

  • It is Canadian, with Canadian data residency and Canadian support. This matters for clinics, professional practices and BC government contractors with privacy obligations.

  • It offers the most call-handling features of the three, which also means more to set up. We handle that configuration.

Best fit: professional offices, clinics, property management companies and any business with a receptionist or a team answering a shared line.

Office Worker Focused
Quo:
a business line on the go

Quo, formerly OpenPhone, puts a business phone number in an app on each person's mobile phone and computer. There are no desk phones and no equipment in the office.

Its strength is fenced availability. Staff carry the business line on their own phone, but the business controls when it reaches them.

That means:

  • Business hours. Calls and texts ring only during set hours. After that, they go to voicemail or an auto-reply, and the staff member's evenings stay their own.

  • Do not disturb and ring order. Each person controls when they're available, and calls can ring teammates in turn rather than all at once.

  • Separate from personal. Business calls and texts are clearly marked and kept apart from personal ones. Staff never give out their personal number.

  • Shared numbers. A main line can ring a whole crew. Everyone sees the same call and text history, so customers don't have to repeat themselves.

  • The number stays with the business. When someone leaves, their business number and its history stay with you, not on their phone.

  • Texting built in. Customers can text the business number, which many now prefer for quotes and scheduling.

What to know:

  • There are no desk phones, so it doesn't suit a front desk that needs a physical phone.

  • Phone menus, call transfers and ring order are on the Business plan and up.

  • Pricing is in US dollars.

Best fit: trades and contractors, field service, realtors, consultants and small teams who work from their trucks, job sites or home.
